Who we are
This website is operated by Kevin Chesters Consulting Ltd, a company registered in England and Wales under company number 14861642, whose registered office is at Calder & Co, 30 Orange Street, London, United Kingdom, WC2H 7HF.
In this policy, “we”, “us” and “our” mean Kevin Chesters Consulting Ltd. We are the data controller for the personal information described below, which means we decide how and why it is used.
If you have a question about this policy, or you want to exercise any of the rights set out below, email us at enquiries@kevinchesters.com.
What we collect, and when
When you send an enquiry. The enquiry form on our Book Me page asks for your name, email address, telephone number, subject and message. All five are sent to us by email when you submit the form. We do not ask for anything else, and you do not need to create an account.
A copy of the emails our site sends. Our site keeps a log of the emails it sends, which includes the enquiry emails generated by the form. That log holds the content of the message alongside your name, email address and telephone number, and it is deleted automatically after 14 days. We keep it so that we can tell whether an enquiry actually reached us if something goes wrong in delivery.
When you simply visit. Like most websites, our web server records standard technical information whenever a page is requested, including your IP address, your browser type and the page you asked for. Our hosting provider keeps these records for security and diagnostic purposes.
A session identifier. Our site stores a small file called PHPSESSID in your browser when you arrive. It holds no personal information, expires when you close your browser, and exists only so the site software can work across page loads.
Spam protection. Our enquiry form is protected by Google reCAPTCHA v3, which works invisibly to tell real visitors from automated abuse. To do that it collects information about your device and how you use the page, and sends it to Google. reCAPTCHA currently loads on every page of this site, not only the page that carries the form. Google’s use of that information is governed by the Google Privacy Policy.
Fonts. Our pages load typefaces from Google Fonts. This sends your IP address to Google each time a page loads.
Why we use it, and our lawful basis
| What | Why | Lawful basis |
|---|---|---|
| Your enquiry details | To read your enquiry, reply to it and discuss possible work | Legitimate interests, and where the exchange moves towards a booking, steps taken at your request before entering a contract |
| The email log | Confirming that enquiries reached us, and diagnosing delivery failures | Legitimate interests in making sure we actually receive what you send us |
| Server records | Keeping the site running, secure and diagnosable | Legitimate interests in the security and integrity of our site |
| The PHPSESSID identifier | Allowing the site software to function | Legitimate interests. It is also strictly necessary, so no consent is required for it |
| reCAPTCHA | Preventing automated abuse of our enquiry form | Legitimate interests in protecting our site from spam and abuse |
| Google Fonts | Presenting the site as it is designed | Legitimate interests in the presentation of our site |
Who we share it with
We do not sell your information, and we do not share it for anyone else’s marketing.
We share it with the following, and only as far as each one needs it:
- Google, through reCAPTCHA and Google Fonts. This may involve your information being transferred outside the UK. Google relies on the UK extension to the EU-US Data Privacy Framework and on standard contractual clauses for such transfers.
- Our email provider, which delivers enquiry emails to us.
- Our hosting provider, which stores the site and its server records on servers in the United Kingdom.
We will also disclose information where we are legally required to.
How long we keep it
We keep enquiries for 12 months from your last contact with us, and then delete them. If your enquiry leads to a booking, we keep the records connected with that work for as long as the engagement requires, and afterwards for the periods required by tax and accounting law.
The site’s own email log keeps a separate copy of each enquiry email for 14 days, and then deletes it automatically.
Server records are kept according to our hosting provider’s own schedule.
How we protect it
The site is served entirely over HTTPS, so anything you type into the enquiry form is encrypted while it travels to us. Access to the site’s administration area is restricted to authorised people.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct anything that is inaccurate
- ask us to delete it
- ask us to restrict how we use it
- object to our use of it where we rely on legitimate interests
- ask us to transfer it to you or to another provider in a portable format
- withdraw your consent at any time, where we relied on your consent
To exercise any of these, email enquiries@kevinchesters.com. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk, by calling 0303 123 1113, or by writing to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF. We would rather you came to us first, so that we can put it right.
